This Policy explains what information WayFairer collects, why we use it, who can see it, how long we keep it, and the choices and rights available to you. It covers the WayFairer website, player app, and related services.

“WayFairer”, “we”, “us”, and “our” means WayFairer Labs Ltd, a New Zealand company. “You” means a player, golf course, marshal, staff member, or website visitor. UK data protection law applies to our processing where its territorial rules cover our activities.

For privacy questions or requests, email privacy@wayfairerlabs.com.

1. What Information We Collect

The information we collect depends on how you use WayFairer.

Players:

  • Your name or nickname for a round

  • GPS location and the time it was recorded during a tracked round

  • Round details such as hole progress, pace, timing, scores, and location-based events

  • App and device details, diagnostics, and technical logs

  • If you create or sign in to an account: email address, linked sign-in identity, authentication and session records, and push notification token

Courses, staff, and marshals:

  • Name, email address, and sign-in and security details

  • Course setup, round and session information, and dashboard activity

Website visitors:

  • Technical logs and basic analytics needed to understand and secure the site

A course or its staff may enter your name or add you to a round. In that case, the course is the source of that information. Players can contact the course or WayFairer if they want to know more.

2. How GPS Tracking Works

When a course or player starts tracking for a round, the app can collect GPS location around every ten seconds while tracking is active. The app may use location in the background during an active round if you grant the required device permission.

Tracking is designed to run during a round and to stop when the round ends or the player leaves the course boundary. The exact start and stop behaviour depends on the course settings and device. Turning off location permission prevents the app from receiving new GPS readings, but it does not remove information already collected.

GPS can be inaccurate, delayed, or unavailable. It is not an emergency or personal-safety service. Live location and pace are shown to authorised staff at the course where the round is being played.

3. Why We Use Information

  • Run player accounts and requested app features

  • Show current player location and pace to authorised course staff

  • Calculate pace of play and provide course round history

  • Support players and course staff, troubleshoot faults, and keep the service secure

  • Prevent misuse, fraud, and unauthorised access

  • Improve the service using aggregated or anonymised information

We do not sell personal information or market directly to players.

4. What Courses Can See

Authorised staff at a course can see:

  • Players currently playing at their course

  • Live location and pace during a tracked round

  • Round history and trends for rounds played at that course

  • Round information linked to an internal WayFairer player ID

A course cannot view a player’s history at another course through its dashboard. We limit staff access to people authorised for that course.

5. How Courses and WayFairer Use Round Data

A course chooses whether to enable player tracking, which players are included, and which staff can view its rounds. The course is responsible for explaining its use of player information and identifying a lawful basis for that use. WayFairer operates the platform and uses round information to provide, secure, and support the service.

The organisations’ legal roles can depend on the feature and how it is used. Contact the course or WayFairer about a request; we will help direct it to the organisation responsible for the information concerned.

6. Our Legal Reasons for Using Personal Information

Where UK data protection law applies, we identify a lawful basis for each use of personal information. Depending on the feature and purpose, our bases are:

  • Providing an account or feature you request: processing needed to provide the service or take steps you request before it is provided.

  • Operating, supporting, and securing the service: our legitimate interests in keeping WayFairer reliable, preventing misuse, and protecting accounts and systems. We consider the effect on people before relying on this basis.

  • Meeting legal requirements: processing needed to comply with a legal obligation.

  • Optional uses that require consent: we will ask for consent where the law requires it and explain how to withdraw it.

For course-managed player tracking, the course must determine and explain its own lawful basis. Device location permission allows the app to receive GPS readings; it does not replace any consent that privacy law may require.

7. Aggregated and Anonymised Information

We use aggregated information and information that has been irreversibly anonymised to understand pace patterns, improve our service, and build reports. Properly anonymised information no longer identifies you and is not personal information. We may keep it indefinitely.

8. How Long We Keep Information

We keep account and sign-in information while an account is active and remove or disable account identifiers when account deletion is completed, subject to records we must keep for legal, security, or fraud-prevention reasons.

Completed round archives include round details and can include player names, hole events, messages, and raw GPS location traces. These archives are stored with the course’s round history. Deleting a player account does not automatically delete completed round archives. We do not currently publish a single fixed deletion deadline for archived round files. A player can contact us or the course to ask about a particular record or request deletion; legal obligations and the rights of others can affect the outcome.

We keep technical and security records for as long as needed to operate and protect the service. We may keep properly anonymised information indefinitely.

9. When We Share Information

We share player round information with authorised staff at the course where the round is played. We do not give one course access to another course’s player history.

We also use service providers to host and archive data, send service email, monitor errors and performance, and provide mapping or geospatial functions. These include OVH Cloud, Amazon Web Services for round archives, and providers in those service categories. We require providers to protect information and use it only to provide their services to us.

We may disclose information when required by law, to protect someone’s safety, or to investigate misuse, fraud, or security incidents.

10. Where Information Is Stored

Information may be stored or accessed in New Zealand, Australia, and countries where our service providers operate. The region used for archived rounds depends on the service configuration.

When UK GDPR transfer rules apply, we use a UK adequacy regulation, appropriate safeguards, or another transfer mechanism allowed by law. New Zealand is currently covered by UK adequacy regulations. Contact privacy@wayfairerlabs.com for information about safeguards relevant to a particular transfer.

11. Security

We use technical and organisational measures to protect information. No internet service can guarantee perfect security. If a personal data breach occurs, we investigate it and notify affected people or regulators when the law requires us to do so.

12. Your Privacy Rights

Depending on the law that applies and the reason we use your information, you may be able to ask for access to or a copy of it, correction, deletion, restriction of use, or transfer of information you provided. You can object to processing based on legitimate interests. If we rely on your consent, you can withdraw it at any time. These rights have limits in some circumstances.

To make a request, email privacy@wayfairerlabs.com. We may ask for information to confirm your identity. We normally respond within one month; where the law permits an extension because a request is complex or there are several requests, we will tell you.

If you are in the United Kingdom, you can complain to the Information Commissioner’s Office. In New Zealand, you can complain to the Office of the Privacy Commissioner.

13. UK Representative

WayFairer Labs Ltd is established in New Zealand. If UK GDPR Article 27 requires us to appoint a representative in the United Kingdom for our UK activities, we will publish that representative’s name and contact details here. Until then, contact us at privacy@wayfairerlabs.com.

14. Automated Decisions

WayFairer calculates pace and round information to show course staff and players. We do not use those calculations to make decisions about you that have legal or similarly significant effects solely by automated means.

15. Account Deletion

You can request deletion of a player account from within the app. See Delete Your Data for the steps. Deletion disables account access and removes or anonymises account identifiers, authentication links, active sessions, and linked notification tokens.

Deleting an account does not automatically delete completed round archives, which can include location traces. Contact us if you want us to review or delete round information linked to you. We may retain limited records where required by law or needed for security, fraud prevention, or service integrity.

16. Children and Junior Players

WayFairer is not designed for children under 13. Courses that include junior players must provide suitable information and ensure any permission or other lawful basis required by applicable law is in place before tracking. A course’s setup does not replace any permission WayFairer is directly required to obtain.

17. Changes to This Policy

We date each version and record significant changes in our Document History. We will give notice of material changes where practicable and ask for renewed agreement where the law requires it. The updated Policy does not remove rights you have under applicable law.
